Evaluation questions for the demonstration

  1. Find a representative vehicle, replay a completed journey and show the vehicle data required by the buyer.
  2. Submit a failed pre-start check and follow the defect through to maintenance.
  3. Make a pool booking, check out the vehicle and show how a late return appears.
  4. Show one vehicle’s FBT data for a quarter.
  5. Import the buyer’s existing spreadsheet, including automatic column matching, entries needing attention and the imported vehicles and history.
  6. Compare utilisation and fleet costs, then export the results.
  7. Change a user’s access and show the audit trail for a supplier support action.
  8. Explain the most recent security assessment, incident notification, device replacement and the data return and deletion process at contract end.

For each demonstration, note the requirement IDs covered, what was shown, any gaps and the buyer’s assessment. Keep planned features separate from capabilities available in the proposed delivery.

Tender questions

Using your checklist.

A fleet tender requirements checklist gives suppliers a common brief for software, GPS trackers and related services. This editable document covers vehicle fit, software capabilities, security, pricing, support and demonstration questions. It also provides fields for supplier responses and your assessment.

Yes. Use the Edit document tab to add your fleet details, keep relevant requirements and add anything specific to your organisation. Mark requirements mandatory or desirable and agree your evaluation method before issuing the brief. Download the edited document before leaving the page.

Download Markdown (.md) saves the current document as an editable plain-text file. Print / save PDF opens your browser’s print options for the reading view. Edits stay in the open page and are not saved when you leave or reload, so download your changes first.

Ask suppliers to identify whether a capability is included, costs extra, needs custom delivery, is planned or is unavailable. Attach the relevant demonstration or supporting document and identify hardware, fees and other dependencies. Use the same buyer assessment scale across responses, with mandatory conditions assessed separately from scored preferences.

Include your vehicle types, installation needs, driver identification and required vehicle data. Ask about coverage, device supply, support, warranty, replacements and ownership at contract end. The checklist puts GPS trackers first and keeps phone GPS as an optional alternative where it suits your fleet.

The checklist covers data ownership, Australian hosting, access, audit trails, encryption, incident response, deletion and driver privacy requirements. Adapt these conditions with your procurement, IT and privacy teams. Ask suppliers to explain and demonstrate their answers and supply the relevant security documents.

It asks suppliers to separate software, hardware, installation, migration, integration, training, support and exit charges. Use the same fleet size and contract period, then compare the total and its monthly equivalent per vehicle. Check actual billing terms, minimum commitments and optional extras alongside that figure.

Yes. Compare IntelliTrac’s platform and GPS trackers against the same requirements you give other suppliers. See live tracking, shared bookings, servicing and fleet costs together, and ask us to demonstrate your priority scenarios and automatic spreadsheet import.
